MOVEON REQUEST FOR PROPOSALS (Independent contractors and firms)

MoveOn Overview:

MoveOn is the largest digital-first, rapid-response political campaigning organization in the United States. We wield independent political power by bringing millions together to take action and mobilize for a just society where everyone can thrive.

For more than a generation, MoveOn has been the homebase for millions of people who refuse to accept the status quo and are moved to take action for progress. We have consistently been a bulwark against the radical right, channeling our voices to end wars, protect democracy, and advance justice for all.

Project title: MoveOn Get Out the Vote Rallies

Project begins: ASAP

Project length: The contract provided will be active from contract sign date until the date of the last rally tentatively October 26, 2024. Any hours given in a scope of work are an estimate, and MoveOn does not guarantee a specific number of hours to its contractors.

 

Project Overview: The GOTV rally series (name pending) aims to get members and the broader progressive voters excited about the Harris/Walz ticket, their policy platform, and voting in November.

This series will be our final pre-Eday opportunity to engage our members and partners by:

Inviting leading celebrities, influencers, member leaders, and elected officials to excite people to GOTV and vote triple.
Creating entry points for member recruitment, engagement, activation, and retention while focusing on issues that mobilize voters of diverse backgrounds
Engaging in incisive storytelling about our work in this moment (electoral campaigning, issue campaigning, etc.) by bringing together all the work of the program department, our creatives, and the larger org.
Strengthening the illustrious MoveOn brand.
Moving the audience to action by plugging them into MoveOn’s relational election program.
Partnering with political celebs, celebs, influencers, and/or orgs in order to cross-post and expand reach.
Additionally, this series will add some necessary sparkle, glitter, and excitement to the election program.
Lastly, we will continue to lift up VP Harris and Governor Walz. HARRIS/WALZ HYPE!!!

This rally series will take place in 2-3 cities in battleground states. The firm we hire will produce these rallies in close partnership with the MoveOn staff and key stakeholders. These rallies will seek to bring on at least one political/celebrity headliner, one musical headliner, and a number of local and national celebs, politicos, movement leaders,etc. The target dates are the weekend of Oct. 18, Oct. 25, and possibly Nov. 1.

Scope of work:

Venue logistics
Find, negotiate, and secure a contract for a venue that can seat between 750-1500 people in each target city/town.
Make sure to find a venue that is ADA compliant and accessible.
Coordinate withMoveOn and venue as it pertains to props, decoration, logistics, etc.
Work on set up and clean up for each venue.
Work with venue on secure space for VIPs etc.
VIP engagement
Once VIPs are secured, firm will work with their teams on all logistics including transport to and from the venue, call times, soundchecks, call times, green rooms/staging locations,
Make sure that VIPs have any scripts, run of shows, logistics worksheets,etc
Talk regularly to any talent’s agents/teams and be on call for their needs.
Pre-program and Program Production
Execute the actual program run of the show created by the MoveOn team.
Test systems before the show, i.e. sound check, video check, etc.
Run the backstage logistics
Communicate regularly with MoveOn staff with necessary updates, flags, etc.
Meetings with MoveOn staff
Meet weekly with the MoveOn team to report-back on deliverables and communicate needs, updates, and feedback.
Post Rallies
Help MoveOn team debrief the rallies.
Provide raw footage and/or edited short(er)-form content to recap on socials, if applicable.

Works closely with: Chris Percy and Justin Krebs.

The project manager will also work closely with key staff including the Surge and Organizing teams.

Proposal submissions:  Please submit a resume and a proposal which includes the following information below:

Background: Name, title and contact information.

Experience: Tell us about your relevant experience. A resume may be submitted in lieu of this section if your relevant experience appears within your resume.

Approach: In two pages or less, Please tell us how you would approach the above scope of work.

Equity: Please explain whether and how your firm has advanced the values of equity, diversity, and inclusion within the firm, and state how that is reflected in the leadership ownership, and work of the firm.  Please share how you will center equity in your work for this project.

Location: RFP is open to individuals/firms based in the contiguous U.S.

Cost and availability: Include an estimate for hourly rate or project rate in your proposal and any limitations on your availability.

References: Past clients (3) that MoveOn may reach out to as references, with contact info.

Most-favorable terms:

MoveOn reserves the right to make an award without further discussion of the proposal submitted. Therefore, the proposal should be submitted initially on the most favorable terms that the vendor could propose. There will be no best-and-final-offer procedure. MoveOn does reserve the right to contact a vendor for clarification of its proposal.
The vendor should be prepared to accept this request for proposal for incorporation into a contract resulting from this request for proposal. Contract negotiations may incorporate some or the vendor’s entire proposal. It is understood that the proposal will become a part of the official procurement file on this matter without obligation to MoveOn.
No obligation to contract

This request for proposal does not obligate MoveOn to contract for services specified herein.

 

Rejection of proposals

MoveOn reserves the right at its sole discretion to reject any and all proposals received without penalty and not to issue a contract as a result of this request for proposal.
