The Democratic Legislative Campaign Committee (DLCC) is the sole organization and campaign committee dedicated to recruiting, training, and electing Democrats to state legislatures across the country. We provide candidates, caucus partners, and key stakeholders with the resources, field support, and data necessary to run smart, winning campaigns, with the ultimate goal of building Democratic power at the state level.

Executive Assistant to the Executive Director

The Executive Assistant to the Executive Director provides coordination and support to the Executive Director of the DLCC and DLCC’s Senior Leadership Team.

The Executive Director of the DLCC leads the organization’s day-to-day activities, driving strategic and operational alignment to ensure DLCC’s vision and mission are achieved. The Senior Leadership Team maximizes the organization’s success, anticipates and plans for future opportunities and challenges, and creates an environment in which employees can thrive by providing information, support, and accountability for each other and the whole DLCC team.

The Executive Assistant to the Executive Director manages the schedule of the Executive Director and the meeting schedule of the Senior Leadership Team. The Executive Assistant serves as the primary point of contact for internal constituencies pertaining to the Executive Director and Senior Leadership Team as whole. The Executive Assistant to the Executive Director must exercise professional judgment and will rely on strong organizational skills. The Executive Assistant to the Executive Director frequently works on projects from conception to completion, under the direction of the Executive Director, and must be able to handle confidential matters with discretion. This is not an entry-level position; we are looking for someone who has experience with scheduling and executive office management.

The Executive Assistant to the Executive Director reports to the Executive Director. This position is eligible to be permanently remote, or if in the DC region, for flexible work arrangements in which the Executive Assistant to the Executive Director can split their time working from the office and home.  Due to the COVID-19 pandemic, working remotely is allowed for all staff through January 2022.

Responsibilities 

Executive Support

  • Manages the schedule of the Executive Director, including planning for daily needs; compiling documents for meetings and briefings; compiling daily and weekly documents and prep for Heather’s review; and, at times, composing and preparing correspondence that is often confidential.
  • Provides a bridge for smooth communication between the Executive Director’s office and internal departments and collaborates and engages and engagement with all senior team members.
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures.
  • Collaborates with and provides backup support to the Executive Aide to the President, as needed.

Senior Leadership Team 

  • Ensures strategically aligned and tactically prioritized agendas, meeting preparation, and logistics for regular Senior Leadership Team activities and periodic Senior Leadership Team retreats.
  • Supports the Senior Leadership Team’s completion of projects, decisions, recommendations and the effective communication of results to all staff.
  • Ensures Senior Leadership Team has the tools and time to regularly evaluate and discuss performance against organizational and departmental objectives.
  • Supports Senior Leadership Team’s efforts to engage in and sponsor organizational learning.
  • Supports Senior Leadership Team to lift up, recognize, and communicate strategically aligned team efforts and results, particularly those that align with DLCCs values and quarterly targets.

Board and Legislator Support and Liaison

  • Serves as the Executive Director’s administrative liaison to the DLCC Board of Directors, working with the Executive Aide to the President and Chief Operating Officer to prepare and distribute information, including Board member onboarding.
  • Resources Board members with necessary information and prep to successfully support their roles as Board members and maximize Board engagement while maintaining discretion and confidentiality.
  • Creates and maintains systems and processes to maximize Board and Legislator engagement and outcomes.
  • Owns planning and manages logistics for Board specific events, including Board meetings, special events, and coordination of Board engagement.
  • Maintains discretion and confidentiality in relationships with all Board members.
  • Owns the creation and execution of the monthly Board of Directors newsletter and regular Legislator communications.
  • Track Board scheduling requests for all other DLCC requests for Board Members.
  • Staffs and supports Board Members at DLCC events, as needed.

 

Outcomes

  • Strategically aligned and impact-oriented scheduling systems are maximizing the time of the Executive Director.
  • Scheduling and communication enable the achievement of DLCC objectives and support the work of the Executive Director as well as other staff to the greatest extent possible.
  • Senior Leadership Team member requests of the Executive Director are effectively prioritized and routed.
  • Senior Leadership activities and tools are interactive, responsive, are aligned with the strategy and are tactically prioritized.
  • The Senior Leadership team has the context, time and tools to complete projects, participate in decision making, and manage the organization’s performance effectively.
  • DLCC’s Board of Directors receive regular communication and updates from the organization and the engagement of the Board is tracked.
  • DLCC staff are recognized by the organization’s leadership for major organizational and team accomplishments.
  • Special projects are clearly coordinated with participants, additional staff needs are incorporated, and any learning objectives are met.

 

Qualifications

  • This is not an entry-level position. The Executive Assistant to the Executive Director is expected to have at least three years of experience scheduling and/or supporting senior leadership.
  • Interest in State legislative campaign politics.
  • Strong written, verbal, and interpersonal communication skills.
  • Comfortable in a fast-paced, continuously evolving environment with multiple tasks and competing deadlines.
  • Exemplary time management skills.
  • The ideal candidate is creative, optimistic, dedicated, and remains calm in difficult situations. The ideal candidate is also adaptable to and comfortable in a constantly changing environment.
  • Excellent diplomacy and tact.
  • Willingness to learn and ask questions.

How to Apply

Salary for the Executive Assistant to the Executive Director position is $68,000 – $75,000 on an annualized basis, commensurate with experience and qualifications. The DLCC offers a generous benefits package, including:
