Job Summary:

The Clinic Director oversees all operations and management of day-to-day activities of a sexual and reproductive healthcare provider in Rockford, IL. Overseeing general management and administration, human resources, clinical services, and business operations, this role will be responsible for efficient service delivery and sound business practices. The Director will implement and maintain systems and processes to ensure high-quality care and services for patients, efficient clinic flow, a top-notch patient experience, and fiscal responsibility within the clinic.

Duties and Responsibilities:

Clinic Operations and Quality

Works in conjunction with the Executive Director, Medical Director, Board of Directors and staff to ensure the clinic is compliant with all laws, rules, and regulations and accreditation requirements.
Ensures all policies and procedures and clinical guidelines are consistently followed.  Conducts or oversees audits and other quality assurance activities; develops and implements corrective action plans as needed.
Ensures patient confidentiality is maintained and that HIPAA requirements are understood and followed by clinic staff. Serves as the HIPAA Compliance Officer.
Manages equipment and supply needs. Oversees maintenance and orders equipment and supplies as needed; works to keep costs within budget.
Assures the facility’s physical environment and staff morale and demeanor provide a safe haven for patients.
Oversees security for the building and staff. Works with the local police department as needed to ensure staff is adequately trained. Reports any incidents to maintain reasonable precautions and security awareness among staff. Hires security personnel as needed.
Handles escalated situations with protestors or community members.
Responsible for document management and record keeping in accordance with state and federal laws.
Oversees all clinical sonography and lab schedules.

Financial Management

Partners with Executive Director and Board of Directors to complete annual operating and capital budgets; works throughout the year to adhere to the budget and report on any variances.
Oversees systems and processes for financial transactions. Responsible for oversight of medical billing system and activities, as well as compliance with requirements for third party payor billing and other funding sources.
Manages all accounts payable and receivable.
Oversees cash management and ensures daily bank deposits are done in compliance with operations standards.
Works with abortion funds to help patients experiencing hardship access resources for care; ensures appropriate recording keeping for patient financial assistance.

Human Resources Management

Implements and manages human resources programs including recruitment, interviewing, training, and management of staff and on-site providers.
Provides clear day-to-day direction for clinic staff. Provides regular coaching, mentoring and feedback. Makes recommendations and consults with the Executive Director and leadership team for promotions, salary increases and disciplinary action. Conducts regular performance evaluations.
Reviews staffing needs and creates clinic scheduling including oversight of on-call coverage. Approves and coordinates time off requests.
Reviews, manages, and approves payroll for clinic staff.

General Leadership and Management

Collaborates effectively with the Executive Director and Board of Directors in planning, preparing, and managing annual work plans and budgets. Maintains operations within budgeted goals.
Oversees all facility management functions.
Represents the clinic in meetings with regulatory agencies, with other healthcare providers, and at conferences; serves as the main point of contact for the clinic on all administrative and business matters.
Manages and maintains vendor relationships; continuously looks for ways to obtain more favorable pricing on contracts, equipment and supplies.
Maintains relationships with academic institutions to teach residents abortion care.
Maintains accurate and current information regarding standards of GYN health care and current trends by performing annual reviews of clinical and administrative policies, examining NAF and research protocols and consulting with the Medical Director.
Assures all clinic services are maintained as sophisticated, socially just, advocacy-oriented and accessible both financially and legally.
Participates in community outreach to create awareness for the clinic and to learn about community needs.

Knowledge, Experience and Skill Requirements:

3+ years of healthcare management experience, preferably in a setting that includes family planning and abortion care.
3+ years of experience leading others. Human resource oversight, developing, training and mentoring a team.
Ability to analyze data, problem solve, and make decisions related to medical practice management. Knowledge of medical practice principles, practices and procedures.
Knowledge of federal, state, local, and payer regulations and requirements related to patient safety, infection control, confidentiality and care delivery.
Knowledge of business principles such as budgeting and organizational development.
Skills in developing and monitoring budgets and maintaining cost-effective practices.
Skills in creating educational programs for patients and staff. Organized systems-thinker.
Excellent communication skills.
Critical and creative thinker. Inclusion and equity champion to create an inclusive environment where all people feel a sense of belonging.
Preferably (but not required) fluent in Spanish.
Commitment to reproductive justice and ability to provide judgment-free abortion care.
Ability to work flexible hours, including Saturdays, early mornings and evenings as required.

Working Environment:

This position operates in a healthcare clinic setting. Working spaces will include exam rooms, procedure rooms and recovery rooms. OSHA Bloodborne Pathogen Exposure Determination: Based on the OSHA guidelines for protection against occupational exposure to hepatitis B virus (HBV) and human immunodeficiency virus (HIV), this position includes tasks that involve exposure to blood, body fluids and tissues.

Physical Requirements:

Walking, standing, reaching, and bending. May need to lift/carry/move items weighing up to 25 pounds. Must have excellent visual and hearing acuity.
