The Operations Manager is responsible for overseeing organizational and financial operations. They will liaise with Nebula Fund’s fiscal sponsor to ensure that the array of services is continually meeting the organization’s needs. The role will coordinate their tasks to complement the financial management, grants management, human resources and tech support provided by the fiscal sponsor.

The position will report to the Nebula Fund Director.

The ideal candidate will demonstrate sound judgment, have excellent organizational and interpersonal skills, and be able to work well in a collaborative, diverse, virtual, and fast-paced environment. They should be comfortable with all aspects of financial planning, revenue tracking and expense reporting, and be able to communicate this information clearly to staff and Steering Committee members. They should be able to work and communicate effectively with vendors in operations, human resources and IT. This is a full-time remote position that will require travel for in-person team retreats (1-2 per year).

Financial Planning/Monitoring, Budgeting and Fundraising

Maintain an up-to-date organizational budget to reflect new revenue and expenses, and prepare periodic budget modifications.
Responsibility for overall financial management including the review and approval of monthly, quarterly, and annual financial reporting materials and metrics for the Director and Steering Committee.
Steward the development of grant proposals and reports for submission to Nebula’s funders.
Prepare budgets and other necessary financial information for grant proposals and reports, with support from the fiscal sponsor.

Operations and Systems Oversight

Partner with the Director to ensure strong administrative and operational systems and processes.
Administer the grants and contact management database, including managing relevant vendors and contractors.
Manage grant agreement processes with Nebula grantees as well as accurate and timely disbursement of grant payments.
Review all contracts and MOUs for consultants and partners before execution.
Review and process approved payment requests and consultant contracts.
In partnership with Program Assistants, establish and maintain updated grantee and partner contact lists and ensure that all grant documentation is in order.
Regularly review operational systems and make recommendations for improvements that incorporate staff input.

Human Resources

In partnership with the Director and with support from the fiscal sponsor, develop and refine Human Resources policies and processes (e.g. performance reviews, equitable pay and benefit standards) that are grounded in Nebula’s values.
Communicate and send out relevant HR updates, such as changes to benefits, salaries, etc.
Oversee recruitment, including posting job openings, standardizing the recruitment process, generating offer letters, and manage onboarding of new staff.
In partnership with the Director, maintain organizational policies and procedures with an equity and inclusion lens.

Technology

Develop an annual technology plan (hardware and applications) and budget to meet organizational needs and keep technology current, secure and efficient.
Act as primary contact for the Fund’s fiscal sponsor on all aspects of technology.
Act as primary contact for technology vendors (e.g. email and online file sharing service, Zoom, calendly) and ensure that the Fund has necessary licenses or features.
Update the Fund’s website and support on grants database.
Ensure implementation and compliance with internal protocols for digital security.

Desired qualifications:

The successful candidate will have prior experience in finance, human resources, operations and/or grants administration, be proficient in Excel, and be comfortable working independently and managing competing deadlines. The requirements listed below are representative of the knowledge, skill, and/or ability required for a candidate to perform this job successfully.
Commitment to the overall mission of Nebula Fund.
High degree of professional integrity; ability and commitment to maintain confidentiality of sensitive data.
Demonstrated experience in financial management and expense reporting.
Human resources knowledge and experience is required; experience with global staffing structures a plus.
Comfort working with Microsoft Word, Excel, Google Suite, and databases (particularly those focused on grants management).
Ability to work effectively with a variety of stakeholders including program and other Nebula Fund staff, grantees, funders, and consultants.
Solid organizational skills: detail-oriented with ability to multi-task, set priorities, and meet deadlines.
Ability to work independently, be flexible and work well under pressure in a fast-paced team environment.
Excellent communication, analysis and negotiation skills.
Experience managing contractors is a plus.
Good interpersonal skills and ability to work effectively in a multi-cultural environment.

Compensation and Benefits

The structure of the employment agreement will be determined by the geographical location and work
authorization of the successful applicant. The Operations Manager will be hired as a New Venture Fund employee or engaged via an alternate arrangement, depending on the circumstances. Salary and benefits may be adjusted commensurate with the experience as well as requirements of the locality in which the selected candidate is located.

Salary: The salary for this position is $100,000 USD. Due to the ways in which salary negotiations
perpetuate existing structural inequities, we do not participate in a salary negotiation process. The fund is committed to paying competitive wages and upholding sustainable equity practices.
